Scoutless Privacy Policy

Draft for launch review — September 4, 2026. Effective when published as the operative policy at scoutless.app.

1. Scope and contact

This Policy explains how Scoutless handles personal information through https://scoutless.app and its related features. “Scoutless,” “we,” “us,” and “our” mean the operator of the Service under the Scoutless brand. For privacy questions or requests, contact help@scoutless.app.
This Policy covers account information, use of the website and AI features, public competition information processed by Scoutless, and support communications. It does not govern third-party websites or services that operate under their own privacy policies.

2. Information we handle

Account and sign-in information
Information and source: Account identifier, email address, display name or username, profile image URL, sign-in provider, authentication/session information, account timestamps, and plan status. Supabase and your chosen Google or Discord sign-in provider supply or maintain this information.
Purpose: Create and authenticate accounts, display your profile, maintain sessions, and control access.
Questions and AI context
Information and source: Questions you submit, relevant prior messages sent with a request, selected teams or matches, and generated answers.
Purpose: Understand your request and produce scouting answers or strategy support.
Competition and scouting information
Information and source: Public team numbers and names, organization and team locations, event details, schedules, scores, rankings, skills results, awards, footage links, captions, and derived observations and reports. Sources include VEX Events, event pages, and event recordings.
Purpose: Build team and event profiles, calculate statistics, locate match footage, and generate evidence-linked reports.
Media processed for analysis
Information and source: Selected match clips, including audio and any people incidentally visible or audible, timestamps, and associated team/match metadata.
Purpose: Analyze robot and match behavior and link observations to evidence.
Technical and operational information
Information and source: IP addresses used for request handling and rate limiting, account identifiers where signed in, request and error information, analysis batch identifiers, any submitted chat identifier, processing status, timestamps, and model usage/cost metadata. Hosting and service providers may also process browser/device and access-log information.
Purpose: Deliver and protect the Service, prevent abuse, troubleshoot failures, and operate analysis jobs.
Local browser information
Information and source: Persisted sign-in sessions, and on this device guest chat history or cached copies of signed-in history.
Purpose: Keep you signed in and restore work on that browser or device.
Synced account history
Information and source: For signed-in accounts, Scout AI chats, recorded match-analysis history, and recently viewed teams stored in our database and copied onto your other signed-in devices.
Purpose: Restore your scouting history across devices after you sign in.
Support communications
Information and source: Your email address, message, and attachments you choose to send.
Purpose: Respond to support, security, legal, and privacy requests.
Google or Discord handles your provider password; Scoutless does not receive it. The current sign-in feature does not request access to your Gmail inbox or Discord messages. Do not send sensitive personal information, credentials, or private student records in AI prompts or support attachments unless specifically necessary for a support request.

3. AI processing and report visibility

Scout AI sends your question and relevant conversation context, along with retrieved competition data, to DeepSeek’s API to plan and generate responses. Video analysis sends selected match clips and competition context to Google’s Gemini API. Clips can incidentally contain faces, voices, or names from event broadcasts. The intended analysis concerns robots and competition behavior, not facial recognition or identifying spectators.
If you use Scout AI while signed in, conversation history, analysis-batch identifiers, and recently viewed teams are stored in our database so they can follow your account across devices. Guest use on a device keeps that history in local storage until you choose to import it. Local or synced storage does not mean messages stay only with Scoutless: submitted questions and relevant history are transmitted for server-side and AI-provider processing.
Scouting reports and video observations derived from public event material are stored centrally and may be reused and shown to other users. Deleting a local chat does not delete those reports, analysis jobs, provider records, or the original third-party recording. Your private chat history is not intentionally published as a public report.
Google’s handling of prompts, outputs, and media depends on the API service arrangement. Under its paid-service terms, Google does not use prompts and responses to improve its products, but retains certain information for abuse prevention and legal purposes. Under unpaid-service terms, content may be used for product and machine-learning improvement and human review. See the Gemini API terms. Scoutless does not make an unconditional promise that AI-provider data is never retained or used for training.

4. When information is disclosed

We disclose information as necessary to:
Service providers: Supabase for authentication and account/database services; DeepSeek for chat processing and Google Gemini for video analysis; hosting, delivery, security, and email providers for operating the Service and responding to requests.
Sign-in and content services: Google or Discord when you sign in, and Vimeo or YouTube when their content loads or you follow a link. Remote profile images, Google Fonts, and jsDelivr resources can also cause your browser to send technical information such as your IP address to those providers.
Other users: Public competition information and shared scouting reports, and any content you deliberately make public through an available feature.
Legal and safety recipients: Where reasonably necessary to comply with law or a valid legal request, protect rights and safety, investigate abuse, or establish or defend legal claims.
A successor operator: In a merger, acquisition, financing due diligence, or transfer of the Service, subject to appropriate safeguards and applicable notice requirements.
Recipients you authorize: When you specifically ask us to share information.
We do not currently operate a personal-information sales business, targeted advertising program, or cross-context behavioral advertising program. Disclosures to third-party players and providers are still described above; their independent practices are governed by their policies, including Google, Discord, Supabase, and Vimeo.

5. Cookies, local storage, and external content

Scoutless uses browser storage for sessions, chats, and preferences. Sign-in and embedded media providers may use cookies or similar technologies. Third-party players can collect viewing and device information when loaded, even if you do not have an account with them. Blocking cookies or browser storage may prevent sign-in or history from working.
We do not currently change the Service’s behavior in response to legacy “Do Not Track” signals. Where applicable law requires recognition of an opt-out preference signal, we will honor it for covered processing. Our current app does not include a dedicated advertising or cross-site tracking SDK; this does not mean external media and resource providers receive no information. We will obtain consent for nonessential technologies where required by law.

6. Retention and deletion

We retain information only as reasonably necessary for the purposes described here, including operating accounts, maintaining useful competition records, responding to requests, preventing abuse, and satisfying legal obligations. Retention depends on the data, purpose, account status, legal requirements, and provider settings.
Accounts: Retained while the account is active and thereafter only for necessary legal, security, or operational reasons. Request deletion by email.
Browser history and preferences: Remain until deleted through an available in-app control or by clearing Scoutless site data in that browser. Signing out does not erase saved chats. Repeat deletion on each device or browser you use.
Public records and derived reports: Retained for historical scouting and report reuse, subject to correction, removal requests, and applicable law. Account deletion does not automatically remove independently sourced competition records.
Temporary analysis clips: The analysis workflow uses temporary files and attempts cleanup after processing, including deletion of uploaded provider files. A cleanup request is not a guarantee of immediate erasure from provider logs or backups.
Support records, security information, and backups: Kept as needed for resolution, security, legal obligations, and recovery. Where retained after a deletion request, access and use will be restricted to those purposes as applicable.
Provider retention is also governed by the relevant provider’s terms. We cannot delete original recordings or source records controlled by event organizers or other third parties.

7. Your choices and rights

You can browse public information without signing in. You can decline to use AI features, delete available local chats, clear browser site data, sign out, and revoke Scoutless access through your sign-in provider. Revoking provider access or signing out does not itself delete your Scoutless account.
Email help@scoutless.app to request access, correction, deletion, or a copy of your personal information. Identify the account or affected Scoutless record and the request; do not send your password. We may request proportionate verification or evidence of authority if you act for someone else. We will respond within applicable legal deadlines and explain any lawful limitation or refusal.
Depending on applicable law, you may also have rights to portability, restrict processing, object to processing, withdraw consent prospectively, use an authorized agent, appeal a refusal, and complain to a data protection authority. We will not unlawfully discriminate against you for exercising a privacy right. To appeal a decision, reply to our response or email the same address with “Privacy appeal” in the subject.
If a public record, image, or report concerns you or a child in your care, include its Scoutless URL and explain the concern. We can review information within our control; correcting the original source may require contacting its publisher.

8. Children and younger users

Scoutless is not intended for children under 13, and we do not knowingly permit them to create accounts or submit personal information. Parents or guardians who believe a child has provided personal information should contact help@scoutless.app so we can investigate and take appropriate action, including deletion where required.
Robotics event records and recordings may nevertheless include minors. We handle that material for competition scouting purposes and accept privacy-related removal requests. Public availability does not remove privacy obligations. Older minors must meet the Service’s eligibility requirements; AI features may have stricter age restrictions. Parental permission does not override those restrictions.

9. Security and international processing

We use measures intended to protect information, including authenticated account access and access restrictions. No storage or transmission system is completely secure. Report suspected security problems to help@scoutless.app.
Our providers may process information in countries other than yours. Where applicable law requires safeguards for international transfers, we will use the required safeguards, such as approved contractual protections, and provide information about them on request.
Where applicable data protection law requires a legal basis, we rely on providing requested services and administering accounts; legitimate interests in securing the Service, maintaining competition information, and supporting users, subject to balancing those interests against your rights; compliance with legal obligations; and consent where required. Where we rely on consent, you may withdraw it without affecting prior lawful processing. We do not use scouting outputs to make solely automated decisions about individuals that have legal or similarly significant effects.

10. Changes

We will update this Policy as our practices change and display the new effective date. For material changes, we will give appropriate notice through the Service or another suitable channel and obtain consent where required. New collection or use is subject to any notice and consent obligations that apply.
